Advisories Maintenance Updates or
Enhancements

Greetings!

On Monday, October 24, the Information Technology Department will introduce enhancements to some of the AFT's affiliate data-tracking tools. The enhancements are designed to make updating and maintaining affiliate information simpler and more effective. We will provide details of the modifications, instructions and updated guides for these enhancements Friday, October 21, 2005 to help you use the tools to their fullest potential.

Enhanced applications include:

  • Affiliate Maintenance System (AMS)

  • Staff Affiliate Maintenance System (SAMS)

  • Membership Suite

The main enhancement deals with officer titles in each of the applications. It provides you with the option to view not only the titles an officer currently holds, but also any titles they may have held in the past. As before, you will still have the option to view a list of only current officers (including all titles they currently hold). There will be other enhancements as well, such as allowing for coping with situations where individuals hold titles in multiple affiliates.

Membership Systems Advisory and Documentation Update:

Today, Friday, November 8th, from 7pm to 12:00am EST, we will implement a new software release of Membership Suite and Membership Lite. Both systems will be unavailable during this time. This new release will provide you with new tracking capabilities.

The new tracking capabilities are:

  • State Dues

  • Liability Insurance

  • Accidental Death & Dismemberment (AD&D) Insurance

State Dues

The State Dues field is a REQUIRED field for affiliates in the following states CA, CT, DE, GA, IA, MD, MA, NJ, NC, OH, TN and WI.

For Membership Lite users, affiliates that are not located in the states listed will not see the State Dues category field.

If an individual's State Dues are different from his or her National dues Category, you will have to select a value from the lookup table for the state dues category.

Liability Insurance, Accidental Death & Dismemberment (AD&D) Insurance

For Membership Suite users - these two new fields will be located on the Membership tab.

For Membership Lite users - these two new fields will be located on the Individual tab.

The default value of these fields will be obtained from the value located on the Local form when a new individual is added.

Existing records will not be affected, however they can be edited accordingly at the individual level.

Membership Suite Advisory:

Due to intermittent black screen errors on saving new individual records and address changes, as of Wednesday, September 4th, we have turned off the Mailers Address Verification software in Membership Suite until further notice.

If you were previously experiencing the black screen error during address changes or new individual record additions, please review those records to verify that the information is correct.

Since turning the Mailers Address Verification software off, we have had no calls from Membership Suite users saying that they have experienced the black screen problem upon trying to save a record.

We will keep you informed when we have this issue resolved and are able to turn Mailers software back on.

Changing or Upgrading Your Operating System, Internet Browser, or Printer?

Please include us in your planning. Failure to coordinate these changes could result in some technical difficulties when trying to access key functions of Membership Suite or Lite.

So first, notify Staff and Affiliate Support of the proposed change. We will advise you on the steps you need to take to ensure a smooth transition.
