Lesson Overview

 

Membership Suite offers built-in reports most frequently requested from Membership users.

 

These reports are pre-designed and allow you to customize certain features.  You are not able to edit the fields or filters in the reports.

 

 


Navigating Built-In Reports

The built-in reports may be used to create report documents, mailing and pony labels, and even printing a single envelope.  You may first view the report, and then print the report.

 

When selecting reports, a report parameter dialog box will appear and may request a From date and To date,  or a Report Header.  These parameters allow you to customize the report or extract specific data from Membership Suite.

 

The following table provides a description of the various built-in reports and the report parameters.

Prints #10 Envelopes.

 

Active Members

Sorted by Last Name, the report fields includes:  Name, Home Address, Home Phone, Work Phone, Chapter, Job Class, Dues Category and Worksite.

Affiliations/Other Organizations by Individual

Categorized by individuals, a list of individuals belonging to other Affiliations or Organizations, the report fields include: Name, Other Organization, Organizations’ Officer, Address, City, State, Zip and Phone.

Affiliations/Other Organizations by Organization

Same as Individual, but categorized by organizations.

AFT Membership Cards

Prints membership cards using the AFT membership card stock.

Chapter Count

Sorted by Chapter, the report displays the count of members by Chapter and includes a grand total.

Deactivated Members

Deactivated members sorted by Name, the report fields includes: Name, Reason for Deactivation, Date of Deactivation, Home Address, Home Phone, Chapter, Job Class, and Dues Category.

Dues Category/ Bargaining Unit Count

Counts the number of all members in each Dues Category by Bargaining Unit.

Dues Category/ Worksite Count

Counts the number of all members in each Dues Category by Worksite.

Home Address Labels

Uses the standard Avery 5160 labels and prints the home address information for each active member.

Individual COPE Contributions

Lists each COPE individual and the report fields include: Name, COPE date, COPE contribution, COPE payment type, and total COPE contributions.

Individual Issues and Positions

Sorted by Name, the report fields include: Name, issue, issue position, and the date contacted.

Individual Leadership Positions

Sorted by Name, the report fields include: Name, Leadership Type, Leadership Position, Release Type, Service Type, Leadership Begin Date, and the Leadership End Date.

Local Presidents Labels

Uses the standard Avery 5160 labels and prints the preferred address information for each officer.

Member Political Information

A list of individuals by Congressional District, the report fields include: Name, Home Phone, Employer Name, Worksite, Work Phone, and Political Party.

Members by Chapter

The report may be used in two ways:  (1) Display all Chapters (leave the Header and Chapter field blank) or, (2) Display only a specific Chapter.  The report fields include: Name, Home Address, and Home Phone.

Members by Employer, Worksite, and Seniority Date

A list of individuals by Employer and by Worksite, the report fields include: Name, Worksite Name, Job Classification and Seniority Date..

Members by Worksite

A list of individuals by Worksite, the report fields include: SSN, Name, Home Address, Worksite Department, Job Classification and Dues Category.

Membership Directory

A phone list in alphabetical order, the report fields include: Name, Home Address, Home Phone, Employer Name, Worksite, and Work Phone.

New Active Members

A list of active individuals during a date range using the field Union Initiation Date.  The report fields include: Name, Home Address, Home Phone, Work Phone, Chapter, Employer Name, Worksite, Job Class, Dues Category, and Union Initiation Date.

Non-Political Activities

A list of non-political activities by name, the report fields include: Name, Activity Date, Attendance and Non-Political Activity.

Political Activities

A list of political activities by name, the report fields include: Name, Activity Date, Attendance, and Political Activity.

Pony Labels

Standard Avery 5160 labels for inter-district mailings, the report field includes: Name and Worksite Name.

Preferred Address Labels

Standard Avery 5160 labels for active members, the report fields include: Name and Preferred Address.

Preferred Address Labels to All Individuals

Standard Avery 5160 labels for all members, the report fields include:  Name and Preferred Address.

Rolodex Cards

Standard 5385 Rolodex card for individuals, the report fields include: Name, Home Phone, Work Phone, Home Address, and if they wish to be contacted by phone.

 

Single Envelope

Prints single #10 envelope using Last Name and First Name.

Steward / Building Rep Labels

Standard Avery 5160 labels, the report fields include:  Name, Address, and Worksite Name.

Steward / Building Rep

A list of reps by worksite, the report fields include: Name, Description, Worksite Department, Work Phone, and Home Phone.

Worksite Address Labels

Standard Avery 5160 labels, the report fields include:  Name, Worksite Name, and Worksite Address.

Zip Code Count

A count list of AFT members by zip code, The report may be used in two ways:  (1) Display all Zip Codes (leave the Zip Code field blank) or, (2) Display only a specific Zip Code.


Using a Built-In Report

You may view or print a built-in report quickly and easily.  If you do not wish to print the report, you may close the report and select another one.

 

  1. In the System Tree, click the  sign next to Reports.

The Reports branch expands.

 

 

  1. Click Built-In Reports.

The built-in reports are displayed in the Browse Pane.

 

 


  1. Double-click the report (or right-click and choose Run Report).

The report parameter, if any, will display.

 

  1. If a Report Parameter dialog box is displayed, type the information requested, and then click Save.

The report is displayed in Print Preview.

 

  1. Click the Print button.

The report is printed.

Exercise 9: Using a Built-In Report

 

In this exercise, you will view a label report and a date report.

 

  1. In the System Tree, click the  sign next to Reports, and then double-click the Pony Labels report.

 

  1. Close the report.

 

  1. Double-click the New Active Members report.
